Sargent Solutions is seeking a creative and detailed Marketing & Events Coordinator to join our team. At Sargent Solutions, our Marketing & Events Coordinator is responsible for implementing and executing live in-person conferences and seminars, virtual webinars, and internal team events.


The Marketing & Events Coordinator will create and publish engaging marketing content aligned with our brand guidelines on our social and online platforms. This position requires a forward thinker who enjoys creating lasting relationships and prioritizes the client experience. They are creative, adaptable, and ready to jump in where they are needed.



Job Responsibilities

  • Planning and executing in-person live webinars across North America, including securing a location, arranging catering, managing invitations, and RSVPs, and booking travel for Sargent Solutions team members. 
  • Planning and executing virtual events, including managing subscriptions and renewals, updating our websites with webinar offerings, adding all registrants to Raiser’s Edge (CRM database), and proofing the digital presentations. 
  • Planning, executing, and hosting a global Sargent Solutions conference, which includes preparing sponsorship packages and related administrative tasks in cooperation with other team members. 
  • Coordinating and booking registration and travel for Sargent Solutions team members attending conferences, 
  • when Sargent Solutions is a vendor, assisting in arranging transportation of booth and swag materials 
  • when Sargent Solutions is a speaker, edit, proof, and ensure approval of presentations 
  • Planning and executing internal Sargent Solutions team events, including sourcing vendors and speakers, preparing materials and daily agendas, securing venue and accommodations, and booking travel arrangements. Planning, preparing, and executing social media posts; promoting Sargent Solutions, Twitter, Facebook, and LinkedIn.   
  • Executing email marketing campaigns for prospective and existing clients   
  • Creating and executing a Sargent Solutions blogs   
  • Apply existing branding across all Sargent Solutions materials, including presentations, client proposals, internal documents, and training items, and ensure the team has these tools as needed 
  • Updating the Sargent Solutions website with promotional information   
  • Facilitating video creation and editing   
  • Assisting team members with sharing and posting as a brand ambassador for Sargent Solutions. 



Required Experience

  • 3+ years of experience in an Events professional role 
  • Strong organizational skills and extreme attention to detail 
  • Proven ability to prioritize and manage multiple projects and deadlines 
  • Client-focused approach to work with strong communication and interpersonal skills 
  • Experience with Blackbaud Raiser’s Edge is considered an asset 
  • Above-average understanding of Microsoft Office products such as Word, Excel, PowerPoint, Teams, and Outlook 



Working Conditions

  • You will directly report to the Marketing Manager 
  • You will work both independently and with a team of highly motivated, passionate people on tasks with minimal supervision 
  • You will work in a remote virtual environment 
  • You will have a valid passport or visa to enter the United States, which is sometimes required for business travel 
  • You will work primarily in Eastern Standard Time but can manage a flexible work schedule across all North American time zones when needed 
  • This position is a full-time permanent role

Salary range, based on experience $50,000 – $60,000
